Kicking off an audio visual integration project can be extremely exciting and engaging to your workforce – but it can also seem a little overwhelming. You can save yourself a lot of time and energy by compiling some relevant information ahead of time. The following checklists are designed to help you stay organized, gather important details, and ensure that your kick-off is smooth, effective and successful.
Initial Design Consultation
This first step includes consulting with you about your project plans. Why is this stage so important? Understanding your functional and environmental audio visual requirements helps AVI Systems determine the general scope of work, budgets and timelines necessary to take the next step. It also lays the foundation for establishing the relationship and expectations of all parties: you, the architect, the general contractor and AVI Systems.

Who will be the primary user of the technology?

What is the intended purpose of the room (presentation, video conferencing, both, etc.)?

What types of media will be used to present information (websites, PowerPoint, other MS Office documents, Flash, etc.)?

Will the furniture and equipment in the room be stationary, or will you require the option to rearrange room elements as needed?

Will users need the ability to take notes during presentations?

Have you determined whether you prefer front or rear projection? Both? Neither?

Are there any other special requirements or needs, such as lighting control, additional telephone lines, IP and LAN cabling, electrical outlets integrated into tables, etc.?

Have you selected a computer platform?

Will any other existing equipment need to be integrated into this new audio visual system? If yes, please list each item, along with a brief description of its condition, a copy of its specification sheet (if available), the serial number, and a photo or sketch of its rear connection panel.

Site Assessment
This activity allows AVI Systems to have a clear sense of the physical space, including the elements that are already in place (such as electrical outlets, cabling, and furniture), what is needed for optimal technology use, and what might be some of the room’s limitations. A lot of information will be collected by the integrator during the site visit, but you can save time by having the following details ready beforehand.

What type of screen and display system are you planning for, if any (rear-projection, front-projection; large screen, interactive whiteboard, multiple screens and monitors, etc.)?

Will you need microphones? If yes, have you thought about where you want them placed (table top, recessed into the table, hung from ceiling, etc.)?

What type of ceiling does the room have (drop-ceiling tiles, sheet rock, plaster, etc.)?

How do you currently control the room’s electrical lighting (basic light switch, motion detectors, etc.)?

Can you control the ambient light in the room?
